Privacy notice for NMIS graduate training applications

We are the Manufacturing Skills Academy, National Manufacturing Institute Scotland, operated by the University of Strathclyde. Our graduate training is funded by the National Transition Training Fund (NTTF) and is subject to this privacy notice.

Introduction

This notice is for all graduates applying to NMIS graduate training from the National Manufacturing Institute Scotland (NMIS) and it explains the purposes for which we hold information about you and your personal data. This includes the specialist technology centres within NMIS that are:  The Advanced Forming Research Centre, The Manufacturing Skills Academy, Digital Factory and the Lightweight Manufacturing Centre.

NMIS is committed to transparency and to complying with its responsibilities under data protection legislation. This privacy notice sets out important information regarding how we will use your information and your rights under the legislation.

It is important that you read this notice prior to providing your information.

This privacy notice works alongside the privacy notice for all visitors and contractors at NMIS and the marketing communications privacy notice.

Who will process my personal information?

Under data protection legislation the University of Strathclyde is the ‘data controller’.

This means that the University is responsible for how it uses and processes your personal data and for complying with requests from you in relation to your personal data, where appropriate under the legislation.

All data is held and processed in line with the University’s Data Protection Policy which can be accessed here.

Any enquiries regarding data protection should be made to the University’s Data Protection Officer at dataprotection@strath.ac.uk.

Your information may be shared internally for the purposes of the recruitment exercise. This includes members of the HR and recruitment team, interviewers involved in the recruitment process, managers in the technical area of the training program and IT staff if access to the data is necessary for the performance of their roles.

Since some of the training positions will be at our partner companies based in Scotland, your information may be shared with them for shortlisting and recruitment. In such cases, the University will be a data processor processing your personal data on behalf of the companies.

NMIS will use your contact details for further communications if you have opted for this, in line with the NMIS Privacy Notice marketing communications.

What data is being collected?

The personal data we will process in relation to your application and subsequent training if selected are:

  • The information you provide in your application:
  • Your title and name
  • Your age
  • Contact details, such as home address, telephone number and email address
  • Your right to work in the UK
  • Details of your qualifications, skills, experience and employment history
  • Records of communications sent to you by the University or partner organisations through the University; or that we receive from you in relation to your application or training program
  • Records of your participation in the training program
  • Photographic and videography images that may be taken during the training program

 

How will my personal data be processed?

The University will process your personal data for the following purposes:

  • For the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom to offer a position
  • To enter into a contract with you, if your application is successful
  • To provide you with information about the training program, accessibility, transportation, parking, etc.
  • To fulfil and monitor our legal responsibilities, for example, under public safety legislation
  • For anonymised reporting
  • The University uses photography and videography to communicate about and promote the University and its work. If we plan to publish your personal photograph or video as part of the promotion, we will ask you for a media consent.
  • In accordance with your preferences, to communicate with you about other events, news, and opportunities at NMIS.

 

Legal basis for processing

Under data protection legislation we are required to identify our legal basis for processing personal data. In this situation, we are processing personal data on the basis of legitimate interest and contract.

We may ask for your consent to use your contact details to send you marketing information about NMIS such as events and news.  You can withdraw your consent for marketing at any time by clicking ‘unsubscribe’ on any of the emails we send you.

Recipients of data

Your data may be shared with our partner companies, who will be hosting the training program for some of the candidates at our request. Your data may be shared with them for selection purposes. If selected for training with a partner company, you may be contacted for further information if required.

Retention periods

Personal data will be retained for the duration of processing of applications, the training and for a period after to comply with audit requirements. If you consent to receiving marketing or event information, we will add your details to our mailing lists. We will retain these details as long as we have valid consent and you have not unsubscribed.

Your rights

You have the right to access your personal data held by the University, please contact dataprotection@strath.ac.uk to exercise this right.

You have a number of other rights: you may withdraw consent for us to use your data for the purposes set out above at any time; if you withdraw consent you also have the right to have your data erased; you are entitled to have personal data rectified if it is inaccurate or incomplete. You can also opt out of marketing at any time. To do this you can click ‘unsubscribe’ on any emails to have sent you or contact NMIS. Right to complain

If you have any concerns / issues with the way the University has processes your personal data you can contact the Data Protection Officer at dataprotection@strath.ac.uk. You also have the right to lodge a complaint against the University regarding data protection issues with the Information Commissioner’s Office.
